Privacy Policy

How DanceEvents collects, uses and protects your information — built minimal by design.

Last updated: [date]

1. Who this policy covers

DanceEvents is a product of Viva Dance Limited, a company registered in New Zealand (Company number: 1667983, NZBN: 9429034642962), of 10 Newton Rd, Auckland 1010. References to “DanceEvents”, “we”, “us”, or “our” in this policy refer to Viva Dance Limited. This policy should be read alongside our Terms of Service.

2. Our approach: minimal by design

DanceEvents is built so that browsing and finding events requires no account and no personal information. Most of what this policy describes only applies if you choose to sign up for email updates, create an organiser account, or list a business in our directory.

3. What we collect, by how you use DanceEvents

Browsing without an account

  • No personal data is collected.
  • Your filter choices (styles, city, date range, budget) are saved only in your own browser’s local storage, on your device — this is never sent to or stored on our servers, and we have no visibility into it.
  • If we use your approximate location (derived briefly from your IP address via our hosting provider) to default the location filter to your own country, this is used momentarily to generate the response and is not logged or stored.
  • We record anonymous, aggregate counts of event page views and ticket-link clicks, used to power organiser analytics and site-wide traffic reporting. These counts are not tied to your identity — we don’t know who viewed what, only that a view happened.

Signing up for email updates

If you opt in, we collect:

  • Your email address
  • Your selected dance style(s) and city preference
  • Your chosen frequency (weekly or monthly)
  • If you separately opt in: consent to receive relevant offers from Step Up-subscribed organisers (“Perks”)

We use this to send you the relevant update email, and, only if you’ve separately consented, occasional relevant offers. We do not share your email address or contact details directly with organisers. Any Perks offers are delivered by us, inside the email you already receive — organisers choose the offer, we deliver it, your contact details are never handed over.

Creating an organiser or advertiser account

We collect:

  • Email address and password (stored securely, never in plain text)
  • Your business/organiser name, logo, description, and social media links
  • Events, poster images, and other content you create or upload
  • Subscription/plan status and a billing reference from our payment processor, Stripe (Stripe holds your actual card details — we never see or store your card number)
  • Analytics about your own listings (views, clicks), if you’re on our Step Up plan

4. Cookies and similar technology

We don’t use advertising or tracking cookies, and we don’t sell data to advertisers or data brokers. Our site analytics tool (Plausible or Fathom) is specifically chosen because it doesn’t use cookies and doesn’t collect personal data — it reports aggregate traffic patterns only. The browser local storage used to remember your filter preferences is not a cookie in the traditional sense and never leaves your device.

5. Who we share data with

We use the following service providers to run DanceEvents, each of which processes data only as needed to provide their service to us:

  • Supabase — database, authentication, and file storage
  • Netlify — website hosting
  • Stripe — payment processing (holds your card details directly; we never do)
  • Google — venue address lookup (Places API)
  • Cloudflare — bot protection on account signup
  • An email service provider — for sending digest emails and account-related messages

We do not sell your personal data to third parties. Directory and event listings, including organiser business information, are intended to be publicly visible as part of the service — that’s different from sharing your personal account data.

6. International data transfers

Some of the providers listed above may process or store data outside New Zealand or Australia. Where this happens, we take reasonable steps to ensure your information continues to receive an appropriate standard of protection consistent with the New Zealand Privacy Act and Australian Privacy Principles.

7. Data retention

  • If you close your organiser account, your public listings are removed from Browse, but records may be retained where reasonably necessary, including anonymised or aggregate data used for analytics and benchmarking (see our Terms of Service, section 17).
  • If you unsubscribe from email updates, we stop sending emails and delete or anonymise your email address and preferences within a reasonable period, except where we’re required to retain records by law.
  • Past events are removed from public search once their date has passed but the underlying record is retained to support organiser analytics, consistent with how this is described in our Terms of Service.

8. Security

We take reasonable steps to protect your information, including:

  • Using a managed authentication provider (Supabase Auth) rather than custom-built account security
  • Restricting account data so organisers can only access their own information
  • Encrypting connections to our site (HTTPS)
  • Never storing your payment card details ourselves — this is handled entirely by Stripe

No method of transmission or storage is completely secure, and we can’t guarantee absolute security.

9. Your rights

Depending on where you’re located, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your account and associated personal data, subject to the retention exceptions above
  • Withdraw consent for marketing emails or Perks offers at any time, via the unsubscribe link in any email or by contacting us

To exercise any of these rights, contact us via our Contact page.

If you’re not satisfied with how we’ve handled your information, you can complain to the New Zealand Office of the Privacy Commissioner (privacy.org.nz) or, if you’re in Australia, the Office of the Australian Information Commissioner (oaic.gov.au).

10. Children's privacy

DanceEvents does not knowingly collect personal information from children. Organiser and advertiser accounts require the account holder to be at least 18 years old, consistent with our Terms of Service.

11. Changes to this policy

We may update this policy from time to time. Material changes will be reflected in an updated “last updated” date at the top of this page.

12. Contact

Questions about this policy, or requests relating to your personal information, can be sent via our Contact page.
